Welcome to Gheenix Labs, a brand operated by Kıroğlu Ticaret Teknoloji Anonim Şirketi (“we”, “our”, “us”). These Terms and Conditions (“Terms”) govern your use of our professional language services, equipment rentals, technical support, and any associated content, tools, and platforms (including but not limited to Zoom and Microsoft Teams).
By using our services, you agree to comply with and be bound by these Terms. If you do not agree, please refrain from using our services.
1. Company Overview
Gheenix Labs provides a wide range of language services, including:

Translation (general, technical, legal, certified, and more)

Interpretation (simultaneous and consecutive, both on-site and remote)
-
Transcription
-
Machine Translation Post-Editing (MTPE)
-
Proofreading and Editing
-
Quality Control (QC) and language verification
We also offer rental and operation of technical interpretation equipment, including:

Bosch Integrus Digital Infrared Interpretation Systems
-
Infoport systems (portable interpretation devices)
-
Translation booths (ISO-compliant)
-
Professional sound systems
-
Radiators and audio distribution
-
On-site and remote technical support by our dedicated service team
2. User Responsibilities
By engaging with our services, clients agree to:

Provide clear, accurate, and complete project instructions and materials.

Use our services solely for lawful purposes and not infringe upon any third-party rights.

Treat our interpreters, translators, and technical staff respectfully and professionally.

Ensure a stable and appropriate environment for interpretation (for remote sessions, reliable internet, good audio input, and platform access are required).
3. Service Requests & Booking Policy
3.1 Quotation & Confirmation
All service requests are subject to a written quotation and acceptance by the client. Work commences only upon confirmation via email or signed contract and payment (or pre-agreed terms).
3.2 Booking Interpretation Services
Clients requesting interpretation (on-site or remote) must specify:

Target languages

Type of interpretation (simultaneous or consecutive)
-
Platform (Zoom, Teams, etc.)
-
Location and venue (for on-site services)
-
Duration and schedule
-
Equipment needs (if applicable)
All details should be confirmed at least 5 business days in advance.
4. Pricing and Payment Terms
4.1 Rates
Rates vary depending on language pair, service type, turnaround time, technical complexity, number of participants (for interpretation), and equipment needs.
4.2 Invoicing & Payment
Invoices must be paid as per the agreed terms (typically before service delivery unless otherwise stated). For ongoing or high-volume clients, special billing arrangements may be agreed in writing.
Late payments may incur penalties in accordance with Turkish commercial law.
5. Delivery Timelines
We commit to delivering high-quality services within agreed deadlines.
However, timelines may be adjusted in case of:

Delayed client feedback or material delivery
-
Force majeure events
-
Scope changes after project confirmation
6. Revisions and Complaints
We offer one complimentary revision for each project within 7 calendar days of delivery, provided the revision request does not involve new content or scope changes. Additional revisions may incur extra charges.
Complaints must be submitted in writing within 7 days of project completion. We will address each case fairly and promptly.
7. Confidentiality & Data Protection
We are committed to maintaining the confidentiality of all documents and communication shared with us.

All staff and subcontractors are bound by confidentiality agreements.

Client materials will not be shared with third parties, except where required for service fulfillment or by law.

Remote sessions are not recorded unless explicitly requested and authorized by the client.
We comply with the Turkish Personal Data Protection Law (KVKK) and GDPR when applicable.
8. Equipment Use and Technical Support
8.1 Equipment Rental
All equipment rentals (including Bosch Integrus systems, infoport kits, booths, sound systems, and radiators) include transportation, setup, and technical supervision unless otherwise agreed.
Clients are responsible for any loss or damage due to negligence during the rental period.
8.2 On-site & Remote Support
We provide experienced technical staff to assist during events. For remote events (Zoom, MS Teams, Webex), we offer technical coordination, testing, and live troubleshooting as part of our service.
9. Cancellation and Refund Policy

Translation/Proofreading/MTPE Services:
50% of the total project cost is non-refundable if cancelled after work has started.
Full payment is required if work is over 50% complete.

Interpretation Services:

Cancelled 5 business days or more before the event: No charge
-
Cancelled less than 5 days before: 50% of total fee
-
Cancelled within 48 hours of the scheduled event: 100% charge applies
-

Equipment Rental:
Same terms as interpretation apply.
10. Limitation of Liability
Kıroğlu Ticaret Teknoloji Anonim Şirketi shall not be held liable for:

Loss of business, revenue, or reputation due to delayed or defective service
-
Any misuse or misinterpretation of delivered content
-
Interruptions caused by technical issues beyond our control (e.g., platform outages, force majeure)
-
Damages exceeding the amount paid for the service in question
11. Intellectual Property
Clients retain full ownership of all source and translated content.
Gheenix Labs reserves the right to showcase anonymized project outlines in its portfolio, unless explicitly requested otherwise.
12. Governing Law and Jurisdiction
These Terms are governed by the laws of the Republic of Türkiye.
Any disputes will be subject to the exclusive jurisdiction of the Istanbul Commercial Courts, unless mutually agreed otherwise.
13. Amendments
We may revise these Terms from time to time. Updated versions will be posted on our official website and become effective upon publication. Continued use of our services constitutes acceptance of the revised terms.
